Vai turns your audio recordings into clean, structured notes. To do that we process the audio you record and the notes we generate from it. This policy explains exactly what we collect, why, who it's shared with, and the controls you have. We collect as little as we can to make Vai work.
Vai (“Vai”, “we”, “us”, or “our”) is operated by AIEraTech. This Privacy Policy applies to the Vai mobile application and the services available through it (collectively, the “Service”). By using Vai, you agree to the practices described here.
1. Information we collect
Account information
When you create an account, we collect what's needed to sign you in and contact you:
- If you sign in with Google: your name, email address, and Google profile identifier.
- If you sign in with your phone number: your phone number (verified via a one-time code).
Audio recordings
When you record or import audio, that audio is uploaded to our secure cloud storage so it can be processed into notes. Audio is the core input to the Service and is handled with care — see Retention below for how long we keep it.
Transcripts and notes
The transcripts, summaries, titles, and other note content that Vai generates from your audio are stored in your account so you can view them across sessions.
Subscription information
If you purchase a subscription, the payment is processed entirely by Apple (App Store) or Google (Google Play). We never receive or store your card or bank details. We do receive a purchase receipt or token and your subscription status (active, expired, plan tier) so we can unlock paid features.
Usage and diagnostic data
To keep Vai reliable we collect basic, largely anonymised technical data:
- Analytics — app events such as a recording started or a note shared, used to understand which features are useful.
- Crash and performance logs — to diagnose and fix bugs.
- Push notification token — so we can tell you when your notes are ready.
2. How we use your information
- To transcribe your audio and generate structured notes — the core function of Vai.
- To create and secure your account and authenticate you.
- To deliver and unlock the features of your chosen plan, and enforce free-plan limits.
- To send you notifications you've enabled (for example, “your note is ready”).
- To diagnose problems, prevent abuse, and improve the Service.
3. AI processing
Vai generates notes using Google's Gemini generative-AI models. To produce your transcript and summary, your audio (and the resulting text) is sent to Google's AI service for processing on our behalf. Google processes this content as our service provider to return a result to Vai. Your recordings are not used to serve you advertisements.
Because AI output is automatically generated, summaries may occasionally be incomplete or inaccurate. You should review important notes for accuracy.
4. Who we share data with
We share data only with the service providers that make Vai work, and only as needed:
- Google Firebase & Google Cloud — authentication, database, file storage, notifications, analytics, and crash reporting.
- Google Gemini — AI transcription and summarisation, as described above.
- Apple & Google Play — subscription billing and receipt validation.
We may also disclose information if required by law, or to protect the rights, safety, and security of our users and the Service. We do not sell your personal data to third parties.
5. Where your data is stored
Your data is stored on Google's cloud infrastructure in the Mumbai, India (asia-south1) region. Some service providers (such as the AI and billing providers above) may process limited data in other regions in order to provide their service.
6. How long we keep your data (retention)
- Audio recordings are automatically deleted from our storage within 30 days of upload. Vai is designed around your notes, not your raw audio.
- Notes, transcripts, and summaries are kept until you delete them or delete your account.
- Account information is kept for as long as your account is active.
7. Your rights and choices
- Access & review — your notes are available to you in the app at any time.
- Delete notes — you can delete any individual note from within Vai.
- Delete your account — you can permanently delete your account and its associated data from the app's Settings. This removes your notes and account information and triggers deletion of any associated audio.
- Notifications — you can turn push notifications off in your device settings.
Depending on where you live, you may have additional rights (such as access, correction, portability, or erasure) under laws like India's Digital Personal Data Protection Act or the GDPR. To exercise any of these, contact us at the address below.
8. Security
Data is encrypted in transit and at rest using the protections provided by Google Cloud and Firebase. Access to production systems is restricted. No method of transmission or storage is completely secure, but we work to protect your information using industry-standard safeguards.
9. Children
Vai is not directed to children under 13, and we do not knowingly collect data from them. If you are under 18, please use Vai only with the involvement of a parent or guardian. If you believe a child has provided us personal data, contact us and we will delete it.
10. Recording responsibly
You are responsible for ensuring you have the right to record any conversation, lecture, or meeting you capture with Vai, including obtaining consent from other participants where the law requires it. Please follow the recording laws that apply to you.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you in the app. Continued use of Vai after changes take effect means you accept the revised policy.
